Delaware County Community College invites applications for a part-time Administrative Assistant in our Phoenixville Campus.
The Administrative Assistant position provides clerical support to the Director and Instructional and Student Services at the College’s Phoenixville Campus. Work collaboratively with all members of the administrative, faculty and support staff team. Provide quality customer service reflecting the culture and mission of DCCC and Branch County Operations. This position requires a professional demeanor and a willingness to address the needs of the ‘customer’ quickly and accurately.
Primary responsibilities include but not limited to providing timely and accurate responses and information to students and visitors; Handle all incoming calls and greet visitors with tact, poise, diplomacy, and hospitality, with a diverse population; Maintain confidentiality of all communications and activities as necessary and appropriate; Maintain appointment calendars (SARS books) for counselors/advisors and Student Support staff; Provide information regarding admissions, registration, and advising, and perform registration tasks for those students who do not need to meet with an advisor; Access BANNER and other databases to enter student applications, perform add/drop functions, print CAPPS for advisors and counselors and retrieve any other information to assist staff and students; Assist Student Services during peak times, and, as needed, including College Planning, Placement Testing, and Open House events; Participate in Professional Development activities when necessary; Assist students with accessing information on the College’s website; Schedule adjunct interviews each semester for Director; send confirmation letter and application; Keep current copies of all instructor syllabi on shared drive; Main current list of instructor addresses and phone numbers; Maintain Access database of instructor observation histories for Branch Campus Operations. Prepare reports for Administrators as necessary; Monitor additions and changes to Master Course Outlines for Branch Campus Operations. Prepare reports for Administrators as necessary; Check HR cabinet for new resumes and send auto response; Record adjunct faculty absences in delaGATE; generate reports as required; Create enrollment reports as requested by the Vice Provost or Director; Complete purchase requests and Office Depot orders; Organize and maintain teaching applicant files. Send confirmation email and respond to inquiries; Post class cancellations to delaGate; performs other duties as assigned.
RequirementsThe ideal candidate must have a High School Diploma, GED or equivalent; Associate’s Degree preferred but not required; Excellent interpersonal and organizational skills; Ability to work well under pressure and independently, and handle multiple tasks; General computer experience with emphasis on Microsoft Office; Knowledge of SCT BANNER highly desirable; Commitment to the community college mission.
